Plain English: what we collect, why we collect it, and how to get out of it.
This page is maintained by AIXP and describes how theaixp.com handles personal information. Last updated April 2026.
Who we are
AIXP is an AI conference held in Houston, Texas. For any privacy question, email info@theaixp.com.
What we collect
Information you give us. When you subscribe, register for a pass, apply to speak, apply to sponsor, or join the Exchange waitlist, we collect the details in that form — typically your name, email address, company, role, and the answers you select (for example which of the five experiences you're most interested in).
Payment information. Card details are collected and processed by Stripe. We never see or store your full card number. We receive the order amount, the items purchased, and your billing email.
Attribution and usage data. We record the page you landed on, the referring site, and any campaign tags (utm_source, utm_medium, utm_campaign, utm_content) in your browser's local storage so we know which advertising actually works. If you accept analytics cookies we also collect standard analytics data such as pages viewed, approximate location, device, and the conversion events listed below.
Why we collect it
To sell and deliver conference passes; to send you the announcements, price-step warnings, and Exchange updates you asked for; to reply to sponsor and speaker applications; and to measure whether our advertising is working so we don't waste money reaching the wrong people.
Cookies and analytics
Essential cookies and local storage keep the site working — your cart, your session, and your cookie choice itself. These are always on.
Analytics and advertising cookies are off by default. Nothing third-party loads until you choose "Accept all" in the cookie banner. If you accept, we load Google Analytics 4, the Meta Pixel, and the LinkedIn Insight Tag, and we send them conversion events such as viewing an experience, adding a pass to cart, starting checkout, purchasing, subscribing, and submitting a sponsor, speaker, or Exchange application. If you choose "Essential only", that choice is remembered and no tags load.
To change your mind, clear this site's data in your browser and the banner will reappear.
Who we share it with
We use a small number of processors to run the event: Stripe (payments), our database and hosting provider, our email provider, Airtable (internal lead routing), and — only with your consent — Google, Meta, and LinkedIn for advertising measurement. We do not sell your personal information.
How long we keep it
Order records are kept for as long as tax and accounting law requires. Marketing subscriptions are kept until you unsubscribe. Applications that don't move forward are kept for two event cycles so we can invite you back, then deleted.
How to unsubscribe or delete your data
Every email we send has an unsubscribe link at the bottom — one click and you're out, no confirmation loop. You can also email info@theaixp.com with "Unsubscribe" in the subject and we'll remove you.
To request a copy of your data or its deletion, email info@theaixp.com. We'll respond within 30 days. Deleting your data may mean we can't honour a pass you already bought, so we'll confirm before removing order records.
Children
AIXP is a professional event. We don't knowingly collect data from anyone under 16.
Changes
If we change this policy we'll update the date at the top of this page and, for material changes, tell subscribers by email.
